The short answer

Tell the screening provider that the listed contact may be outdated, then ask which current source or document it accepts. Keep the request, your research and any submission confirmation together.

Confirm what changed

Check whether the employer changed its name, moved verification to a third-party service, or uses a general human-resources channel. Compare the request with the employer’s current official website or your own employment records.

Ask before sending documents

Use the contact method in the screening request or another verified channel. Ask what information is missing, what formats are accepted and how documents should be submitted securely. Do not send records to an address you cannot verify.

What to gather

  • The original verification request and deadline
  • The employer name used during the relevant period
  • Current contact information from a reliable source
  • Authentic records that may help if the provider requests them

A mistake to avoid

Do not guess a person’s email address or ask an unrelated employee to confirm your history. A concise explanation of the changed contact is safer than an unverified referral.

Find a current route without circulating personal records

Start with the organization’s official website or a known established contact. Ask which department or service handles employment verification now. Confirm the route independently before forwarding an unexpected link or sending identity documents.

An old manager may help locate the right department, but do not assume that person can provide the verification the screening company requires. The provider may need an organizational route rather than a personal reference.

Record changes clearly

Keep the previous employer name, the current name if confirmed, the old route that failed and the new official instructions. A merger or rebrand may explain a different name without changing which employment period you are reporting.

The previous verification address is no longer working. The organization’s current published instructions direct requests to [route]. Please confirm whether you can use this for the employment period on my form.

Avoid putting sensitive identifiers into this initial routing message unless the verified process requires them.

If you cannot find a replacement

Tell the provider what you have checked and ask what to do next. Do not manufacture a contact or use your own number as the employer’s. If the organization is closed or explicitly declines to respond, move to the previous employer not responding guide and ask about accepted alternatives.
