The short answer
Redaction rules depend on the recipient and the document. Ask the screening provider what it needs, use its secure channel and keep the original private unless it specifically requests otherwise.
Confirm before editing
Ask whether account numbers, addresses or unrelated transactions should be hidden, and whether the provider accepts a redacted copy. Do not assume that a general privacy practice applies to every request.
Preserve material facts
Never obscure the employer name, dates, identity of the document or another field the provider needs to verify the request. If the instruction is unclear, pause and ask.
What to gather
- The written document request
- Redaction instructions from the recipient
- A secure submission method and confirmation
A mistake to avoid
Do not edit a document to change a date, employer name or other material fact. Redaction removes unrelated information; it does not change the record.
Separate privacy protection from changing evidence
Redaction removes visibility of information; it must not be used to change what a document says about your employment. Ask which fields must remain visible and whether a redacted copy is accepted before preparing one. The answer may differ by document and request.
| Question to ask | Why it matters |
|---|---|
| Which period and details are being verified? | Helps identify the relevant document |
| Which fields must remain visible? | Prevents removing information needed for the request |
| Is a redacted copy accepted? | Avoids assuming your preferred format is usable |
| Which secure channel should I use? | Keeps the handling question separate from the content question |
Keep the original and check the copy
Work on a copy so you retain the authentic original. Do not assume a colored rectangle drawn over text removes the underlying information from a digital file. Use a method that actually removes the selected content, then check the saved output before sharing. If you are unsure how to do this safely, ask for an accepted alternative or seek technical help.
Avoid sending an unredacted original simply to demonstrate what you removed. Confirm the request first. Our secure submission guide covers verifying the recipient and upload route.
If a redacted copy is rejected
Ask which required detail was obscured and whether a different document is accepted. Do not restore every unrelated field by default or alter dates, names or earnings figures to make the file fit. Keep the provider’s answer with your private submission notes.
