The short answer
Verify the sender and request, ask which document is needed, and use the designated secure submission method. Share only what is requested and keep a record of what you submitted.
Verify the request
Use the contact details in the screening workflow or another trusted source. If a message asks you to reply with sensitive records through an unexpected channel, pause and ask the screening contact to confirm the request.
Clarify the minimum needed
Ask whether a specific page, date range or redaction is required. Do not alter material facts, and do not send extra identity or financial information merely because it appears on a document.
Keep a submission record
Record the date, recipient, document name and confirmation number in your private files. Follow the provider’s instructions for correcting or replacing a document.
A mistake to avoid
Do not upload a background report or identity document to an unverified email address, public form or social-media message.
Verify both the request and destination
Use contact details from an established source to confirm an unexpected request. A familiar logo, urgent deadline or convincing email signature is not enough on its own. Open the known provider portal through your established route where possible, then check for the request there.
Ask which documents, periods and fields are required. Do not send a full collection of employment, identity and financial records merely because some proof was requested.
A practical submission check
- Confirm the recipient and official channel.
- Check that the selected file is the requested record and period.
- Follow the recipient’s instructions about format and redaction.
- Review the saved file for legibility and unnecessary content.
- Submit through the verified route and retain the reference securely.
These steps reduce avoidable mistakes; they do not certify any particular portal’s security. If a link looks wrong or the request changes unexpectedly, pause and verify before uploading.
Keep a useful record without duplicating sensitive files
Note what you sent, the date, the destination and the submission reference in your own secure records. Do not place documents in public shared links, website comments or general feedback forms. This Help Center does not receive or review background-check documents.
If a file was sent to the wrong recipient, contact the intended provider and the service used promptly to ask what containment options are available. Do not assume deleting your local copy recalls a transmitted file.
Use the Background Check Prep Packet and redaction guide before the next upload.
